When you click New Donor, the following dialog appears:

Most of the fields are fairly obvious. Here are a few exceptions:
- Individual or Business / Organization: Whichever of these is selected (with a background color) is the type of donor you are creating. If you choose Business / Organization, there will be an additional field for “Business name”, and the First and Last name fields are for your contact person within the business or organization, and are optional.For Individuals, both the First and Last name fields are required.
- Middle Name: This is primarily intended for use to record the middle initial for users in Canada, where it is required on receipts.
- Member/Envelope #: Three fields are shown for this, for you to be able to see this year’s, the previous year’s, and next year’s numbers. You can also change these for a specific year (this year or next year) as a group, by using the “Assign Numbers” link on the Organization left-hand menu’s Preferences The Member/Envelope #s can range from 1 to 9999999999 (up to 10 digits), and there is a tooltip above each of the three fields showing the lowest available number (first unused), and next highest number (one higher than the highest used so far).
- Address fields: To be able to receive a receipt, at least the Address 1 field must be filled in.
- Non-Receiptable: If you check this, this donor will never receive a tax receipt issued with the options on the Receipt left-hand menu’s page. This would most likely be used for donors that are corporations or other charities, or donors from other countries that cannot use tax receipts from your country. Donations can be independently marked as Non-Receiptable, but for donors that are already marked Non-Receiptable, that is irrelevant and so that donation field for Non-Receiptable is not enabled.
- Tags: You can select any number of tags here, from the ones you set up on the Tags tab of the Organization left-hand menu option’s page. If you select more than two, only the first two are displayed when viewing the donor, unless you click back into this Tags field, when all are displayed.
- Custom Fields: This is not shown in the image above, but if you make one or more Donor Custom Fields visible in the Donors tab of the Organization left-hand menu option, they will appear in this editing area, between Tags and Notes.
- Notes (internal): You can use this to record anything you like about this donor that does not go into a specific field elsewhere. It has no meaning anywhere else in the program.
When you have filled in your donor’s details, click Create to save the donor and go back to the main Donors View. If you want to create another donor after saving this one, instead click Create and New, and you will be left in a new empty donor form after the save.
